How we handle your data
What we collect, why, for how long, and how you can ask to see, correct or delete your data.
1. Who is responsible for your data
SilentWave is the trading name of Simão Fernandes Mota, a sole trader registered in Portugal, tax number (NIF) 255135734, who is the controller of the personal data collected on this site.

2. What we collect and why
Quote requests. When you fill in the contact form, we collect your name, email, phone number (if you give it), company or venue, and the event details: type, location, date, time, duration, number of guests, channels, extras, discount code and the description you write. We use this to reply, prepare a proposal and, if you go ahead, deliver the service. The legal basis is taking steps at your request before entering a contract and, afterwards, performing that contract.
Discount code (voucher). When you ask for a code, we collect your email, language and the page of the site you were on. We use this to send you the code, check when it is used and, occasionally, talk to you about your event. The legal basis is your consent, which you can withdraw at any time.
Email. If you write to us directly, we use your address and message only to reply.
We do not sell or share your data with third parties for marketing.
3. How long we keep it
- Quote requests that don't go ahead: up to 2 years after our last contact.
- Requests that become a booking: for the duration of the business relationship and then for the period Portuguese tax law requires for invoicing records (10 years).
- Voucher emails: until you withdraw consent or, at most, 2 years after you asked for the code.
4. Where the data is kept and who can see it
Requests and voucher emails are stored in a Google Workspace spreadsheet and our emails go through Gmail, both provided by Google acting as our processor. Google may process data outside the European Union, under the safeguards set out in the GDPR (standard contractual clauses and the EU-US Data Privacy Framework).
Only the SilentWave team can access this data. We may have to share it with public authorities where the law requires it.
5. Cookies and browser storage
This site does not use cookies or any analytics or advertising tools. It only keeps a few small notes in your browser's storage so it works better: whether you have already seen the intro animation, and when to show (or stop showing) the voucher pop-up. This never leaves your browser and you can clear it at any time in your browser settings.
To display its fonts, the site loads files from Google Fonts and Fontshare, which means your browser shares your IP address with those services. Links to social networks and to the Complaints Book only take you to those sites when you click them, and their own policies then apply.
6. Your rights
At any time, you can:
- ask for access to your data and a copy of it;
- ask us to correct inaccurate or incomplete data;
- ask us to delete your data;
- object to, or ask us to restrict, the processing;
- ask for your data in a format you can take to another service;
- withdraw the consent you gave for the voucher, without affecting anything done before.
Just write to geral@silentwave.pt. We reply within one month.
If you believe your data has not been handled properly, you can complain to the Portuguese data protection authority, CNPD (cnpd.pt).
7. Changes to this policy
If we change how we handle data, we will update this page and the date at the top.
